Job Description
Phillips Academy seeks a full-time Art Administrative Assistant to begin in September of 2025. The Administrative Assistant in the Art department ensures the smooth operation of the art department, balancing financial management, inventory control, and customer service while supporting faculty and students. With a strong background in accounting and business management, this individual oversees budgets, tracks expenses, and ensures financial accuracy. They work closely with the Comptroller’s office to reconcile reports and maintain cost-effective budgets.
Beyond financial oversight, the Assistant handles daily Art Store operations. They maintain knowledge of art materials, sourcing, and vendor relationships to secure the best pricing and availability. By managing inventory they keep materials stocked within budget constraints. Strategic purchasing and sales efforts support the department and the broader community.
Collaboration with instructors is key. During the academic year the manager organizes course materials, supervises students fulfilling work-duty requirements, assists with material selection, and oversee studio spaces. They play a vital role in exhibitions and visiting artist programs, handling logistics such as travel, lodging, artwork transport, and gallery needs. They also oversee financial arrangements for guest artists and department events.
They assist with instructor professional development, managing bookings, reimbursements, and budgeting. With a commitment to organization, problem-solving, and efficiency, the Art Store Manager brings essential structure and support to the department, balancing financial responsibility with creative resource management.
